DASHBOARD - Handling Listing Enquiries

The listing enquiry section of the dashboard is a tool for you to use to manage the customers who have enquired about selling their boat. 

Enquiries will either be assigned to you from HQ or you can add them manually by clicking on the Add New Enquiry button.  If you are adding a boat for another brokerage (ie you have found a listing for another Boatshed Broker) then please don't add it here, you will need to use the referral system on the main website (see refer a boat)

Adding a Manual Enquiry:

Complete the details with as much information as possible.  Once added you will be able to view in the same way as enquiries that are assigned from HQ.

Enquiries from Sell My Boat:

When a customer completes a ‘sell my boat’ form on the website, HQ will receive the details and then assign to the relevant brokerage. As the broker you will receive a notification in two ways:

By Email:
The email will provide you with the type of boat that is for sale.  When you click on the link in the email it will take you to the listing enquiry section of the dashboard.

In the Dashboard:
The number of listing enquiries you have open will show in the menu on the left hand side of the screen and any new enquiries will be shown under the notifications widget on the dashboard.  Click on listing enquiries which will enable you to process the enquiries.

In the listing enquiries section, the basic details of the listing will be shown until you click on 'accept assignment' (click on the view button to see basic details).  Once accepted you will be able to view the contact details for the customer.

  • Use the notes section on the right hand side to make notes, when you have spoken with the customer or have arranged to meet them, when contracts have been signed etc.. when you add a note it will automatically add the date and time 
  • Use the 'follow up enquiry on' function to receive reminders when action is due to be taken on a listing enquiry.  If you do not select a date you will receive an email each day as a reminder

BOAT LISTED:
Once you are ready to list the boat this can be done by clicking on the 'list boat' button.  This will take you to the add a boat page and the boat owners details will automatically be entered onto the listing.  You can continue to add the boat details as normal.  When the boat is added it will automatically mark the listing enquiry as 'listed'

If you have added the boat in the normal way (manage>boats>add a boat) then you need to go back to the enquiries section and mark the boat as already listed.  When you click on the button you will be required to add the Boatshed reference number and the enquiry will be changed to listed.

BOAT NOT LISTED:
If you have spoken to the customer and they do not want to list their boat, then please click on the 'not listed' button and this will allow you to choose a reason why the boat wasn't listed - DO NOT CLICK DECLINE (Decline should only be used if the boat is out of your area and HQ will reassign to the correct broker)

It is important to keep the listing enquiries up to date so they should be marked as listed or not listed as soon as possible.

SEARCHING FOR ENQUIRIES:
When you are in the main listing enquiry screen you can search for an enquiry either by the listing enquiry number or by the customers name or email.  You can also sort the columns by using the arrow next to each of the column headings.

Your dashboard will only show live enquiries, once they have been listed or closed they will be removed from the main list of enquiries.  You can still search for old enquiries using the search function.
